How we handle your information.

Gray & Grace Inc. (“Gray & Grace,” “we,” “us”) respects the privacy of everyone who visits this website, submits a project brief or becomes a client. This policy explains what we collect, why, and what we do with it.

What we collect

We only collect information you choose to give us, plus basic technical data any website receives.

• Information you submit. Name, email, phone, company, project location, property details, scope, timeline, budget range, written descriptions and any files you upload through Begin an Edition, the Vision Brief or Contact.
• Client portal information. For active clients, the project record: documents, selections, approvals, messages sent through Project Line, procurement and financial records.
• Technical information. Standard server and analytics data such as browser type, device, approximate region and pages visited.

How we use it

• To review your inquiry and recommend an appropriate engagement.
• To communicate with you about a project, proposal or active engagement.
• To deliver design, procurement and construction services.
• To operate and improve this website.
• To meet legal, tax and contractual obligations.

What we do not do

Who else touches your data

We use a small number of established service providers to run this website and the client portal. They process data on our behalf and are not permitted to use it for their own purposes.

• Website hosting and form delivery. Form submissions are transmitted and stored by our hosting provider and delivered to us by email.
• Client portal. Project records, messages and files are held in a secured, access-controlled database with per-project permissions.
• Payment processing. Where invoices are paid electronically, payment is handled by a third-party payment provider. Card and bank credentials are entered with that provider and are not stored by Gray & Grace.

Confidentiality of project information

Project addresses, drawings, specifications, vendor sources, pricing and client identities are treated as confidential. Photography of completed work may be published or submitted for editorial consideration; where a client prefers a project remain unpublished or unidentified, that is honoured.

Retention

Inquiries that do not become projects are kept only as long as useful, then deleted. Project records are retained for the life of the engagement and afterward as part of the House Book or Building Record, and as required for warranty, insurance, tax and legal purposes.

Your choices

You may ask us what information we hold about you, ask for corrections, ask us to delete an inquiry, or unsubscribe from any non-essential correspondence. Write to contact@grayandgrace.com and we will respond.

Cookies and analytics

This website may use cookies and basic analytics to understand how it is used. You can block or delete cookies in your browser; some portal functions require a session cookie to keep you signed in.

Children

This website is intended for adults conducting business and is not directed to children under 13.
